1.1 General

1.1.1. Our final itineraries are carefully crafted to reflect the best possible experience for our clients. They will include details such as accommodation, room types and specifications, meals, and beverages (where applicable), as well as any transfers or transport specified for the tour.

1.1.1.1. We only select the finest accommodations for our tours, ensuring our clients enjoy the highest standards of comfort and luxury.

1.1.1.2. We understand that our clients have different preferences when it comes to room types and specifications. We take this into consideration when designing our itineraries and work to accommodate all requests.

1.1.1.3. Our tours may include meals and beverages, depending on the destination and type of tour.

1.1.1.4. We provide transfers and transport where specified, ensuring that our clients travel in comfort and style throughout the tour.

1.1.2. While we make every effort to operate our itineraries as planned, we understand that unforeseen circumstances can arise, and we may need to make changes to the itinerary. In such cases, we will do our best to ensure that any changes do not negatively impact our clients' experience.

1.1.3. At Haydar Experiences, we take our clients' safety and comfort seriously. In the event that we need to alter or withdraw a tour or tour series due to circumstances beyond our control, we reserve the right to do so. We may also need to adjust the itinerary and tour costs accordingly. However, we will always keep our clients informed and work to minimize any inconvenience caused.

1.1.4. In rare cases where we may need to cancel a booking, we will do so in the interest of Haydar Experiences, and we will provide a full refund of any monies paid towards the booking.

1.1.5. We highly recommend that our clients procure adequate travel insurance before embarking on a tour with Haydar Experiences. Good medical insurance cover is mandatory as it will provide coverage for any medical expenses and related costs that may be incurred should a guest require medical assistance while on tour with us. While emergencies are rare, they can be expensive, and we want our clients to have peace of mind knowing they are fully covered.

1.1.6.The “United Arab of Emirates is our country of domicile” and the governing law is the local law.

1.1.7. We will not trade with or provide any services to OFAC and sanctioned countries.

1.1.8. Customers using the website who are Minor /under the age of 18 shall not register as a User of the website and shall not transact on or use the website.

1.1.9. The user is responsible for maintaining the confidentiality of their account.

1.2 Exclusions

1.2.1 Please note that the following items are excluded from the services provided by Haydar Experiences, and it is the responsibility of the Client to obtain them prior to travel:

  • Passports

  • Visas

  • Flights that are not explicitly specified and included in the booking confirmation

  • Personal Insurance

  • Any items of a personal nature.

1.3 Booking Process

1.3.1. The Guest is required to inform Haydar Experiences of any Bookings, Confirmations, Booking Amendments, Special Requirements, Dietary Needs, Reductions, or Cancellations of rooms or services in writing via email to enable Haydar Experiences to make the necessary itinerary arrangements. The Guest is responsible for ensuring proof of delivery.

1.3.2. Provisional booking periods are determined by third-party suppliers, and Haydar Experiences reserves the right to release reservations if the required deposit is not paid.

1.3.3. At the request of the Client in writing, Haydar Experiences will attempt to extend provisional bookings. However, any extension of any provisional period remains the sole discretion of third-party suppliers.

1.3.4. Prior to confirming any Reservation with Haydar Experiences, the Guest must have the required deposit payment and travel insurance.

1.3.5. Confirmed Reservations are invoiced, with payment required as per the provisions of clause 2.2. The final invoiced amount will include an itinerary planning and arranging fee, handling and operational fee, and VAT where applicable.

1.3.6. Confirmed Accommodation is subject to the appropriate payment and cancellation policy as set out in clause 1.3.7.

1.3.7. Amendment, Reduction, Refund, and Cancellation Policy:

1.3.7.1. An amendment refers to a change in travel/arrival date and/or an increase or reduction in the number of rooms or services required after confirmation.

1.3.7.2. All amendments made will be subject to the cancellation policy as set out in clauses 2.4.1. and 2.4.2.

1.3.7.3. Reservations held by Haydar Experiences where no deposit has been paid by the Guest or where no guarantee has been given will be cancelled by Haydar Experiences.

1.3.7.4. All amendments, reductions, refunds, and cancellations will be determined at the sole discretion of the suppliers utilized in any itinerary.

1.3.7.5. Refunds will not be made for any missed services in respect of an experience.

1.3.7.6. In the event of cancellation of a Booking, Haydar Experiences shall be entitled to retain such a portion of the Booking as may be prescribed by relevant consumer protection legislation (if applicable) in operation in the Country of jurisdiction where the Booking is made or Confirmed by Haydar Experiences.

1.3.7.7. In the event of cancellation of a confirmed reservation, the following cancellation fees apply:

  • Greater than 151 days prior to arrival: 30% of Total Booking value

  • Between 150 and 91 days prior to arrival: 60% of Total Booking value

  • Less than 90 days prior to arrival: 100% of Total Booking value

  • Cancellation during travel or stay: 100% of Total Booking value

Note: The above policy applies to all tours and services provided by Haydar Experiences.

2.1 Payment Terms

2.1.1. All bookings made with Haydar Experiences are subject to the following payment terms.
2.1.2. Payment can be made via bank transfer.
2.1.3. The Guest is responsible for all bank charges incurred in connection with the transfer of funds.

2.1.4. Cardholder must retain a copy of transaction records and Merchant policies and rules.

2.2 Payment Schedule

2.2.1. Upon confirmation of all reservations, the Guest will be liable for a deposit.

2.2.2. The following specific payment policy applies:

  • Deposit due on Confirmation: 30% of the Total Booking value

  • Due at 150 days prior to arrival: An additional 30% of Total Booking value

  • Due at 90 days prior to arrival: Final 40% of Total Booking value

2.3 Late Payments

2.3.1. In case of late payments, Haydar Experiences reserves the right to cancel the reservation and retain the deposit paid.

2.3.2. If the balance is not paid within the specified time frame, Haydar Experiences reserves the right to cancel the booking and retain the deposit paid.

2.4 Cancellation Policy

2.4.1. All cancellations must be made in writing and will only be effective upon receipt by Haydar Experiences.
2.4.2. In the event of cancellation, the following charges will apply:

  • More than 90 days prior to arrival: Loss of deposit

  • 90-61 days prior to arrival: 50% of the Total Booking value

  • 60-31 days prior to arrival: 75% of the Total Booking value

  • 30 days or less prior to arrival: 100% of the Total Booking value

2.5 Refunds

2.5.1. If Haydar Experiences cancels the booking, all funds paid by the Guest will be refunded in full.
2.5.2. Refunds will be made onto the original mode of payment. Any refund due will be processed within 10-45 days depending on the issuing bank of the credit card.

2.5.3. The Guest can cancels the booking within the terms of the Cancellation Policy

2.6 Changes to the Booking

2.6.1. Any changes to the booking are subject to availability and may incur additional charges.
2.6.2. Haydar Experiences will use reasonable endeavors to accommodate any changes requested by the Guest, but cannot guarantee availability or acceptance of the changes.

2.7 Payment Security

2.7.1. Haydar Experiences takes the security of all payments seriously and has implemented appropriate security measures to ensure the protection of Guests' personal and financial information. The user is responsible for maintaining the confidentiality of his account.

2.7.2. The Guest will receive the payment confirmation via email within 48 hours from being received by Haydar Experiences FZE.

2.8 Payment Methods

2.8.1. Payments can be made via bank transfer to the registered bank account details provided. Alternatively, payments can be made via a payment link by Visa or Mastercard (subject to additional fees).

2.8.2. In the case of payment via payment gateway, Telr accepts and processes transactions on behalf of Haydar Experiences FZE.

2.8.3. Haydar Experiences FZE accepts payments in AED or USD currencies.

3.1 Guest's Responsibilities:

3.1.1. As a guest of Haydar Experiences, you have certain responsibilities that you need to fulfill in order to ensure a smooth and enjoyable travel experience. Please take note of the following:

3.1.1.1. Do not sell or promote the travel packages and accommodation at rates lower than those advertised by Haydar Experiences, unless otherwise agreed upon by both parties.

3.1.1.2. Provide accurate information about your travel itinerary, including any special requests or requirements such as a tailored program, type of accommodation, duration of stay, etc., that Haydar Experiences may need to know in order to arrange your itinerary and confirm your reservation.

3.1.1.3. Adhere to the trading terms set forth by Haydar Experiences.

3.1.1.4. Do not engage in any distribution or trade practice or advertising method that could harm Haydar Experiences.

3.1.1.5. Communicate all bookings and cancellations to Haydar Experiences in writing via email as soon as possible.

3.1.1.6. Promptly comply with any reasonable instructions given by Haydar Experiences.

3.1.1.7. Obtain prior written consent from Haydar Experiences before appointing any sub-guests or agents.

3.1.1.7. Purchase comprehensive travel insurance that covers you for personal effects, personal accident, medical and emergency travel expenses, cancellation, and curtailment.

3.1.1.8. Ensure that all travelers on the itinerary have the necessary and correct passport, visa, and vaccination requirements for all countries that will be visited.

3.1.1.9. Seek medical advice regarding prophylaxis and vaccination requirements for countries and regions that will be visited.

3.1.1.10. Acknowledge that travel may take you to isolated regions and in close proximity to wildlife, in which case you will be required to sign a waiver form at the time of your safari.

3.1.1.11. Provide all special requests or preferences to Haydar Experiences at the time of booking.

3.1.1.12. All reservations made shall be subject to the trading terms contained in this document and any relevant annexures.

3.1.1.13. Ensure that all payments due to Haydar Experiences are received on time and in full, in accordance with the provisions of the trading terms. As the guest, you are solely responsible for this.

4.1 Haydar Experiences Responsibilities

4.1.1. Haydar Experiences shall

4.1.1.1. Plan and arrange itineraries, provide quotations, make Reservations, Confirmations, invoicing and credit control relating to the experience, ensuring that all arrangements are in accordance with the agreed Trading Terms.

4.1.1.2. Stipulate all details of the Accommodation, including room types and transfers provided on arrival and departure from airport to hotel, and return when specified in the itinerary.

4.1.1.3. Be entitled to make changes to travel arrangements, such as Accommodation and arranged activities, due to unforeseen circumstances after the itinerary has been issued. If such changes occur, Haydar Experiences will inform the Guest promptly. Every effort will be made to operate the tour as planned.

4.1.1.4. Ensure that all necessary permits and other documents required for the itinerary are obtained, provided that the Guest has provided Haydar Experiences with the necessary information to arrange the itinerary. This does not include guest passports, personal travel insurance, visas and flights.

4.1.1.5. Use reasonable care and skill in the selection of suppliers, including airlines, hotels, and transport operators, and in providing the services outlined in the itinerary.

4.1.1.6. Take all reasonable steps to ensure that the experience is provided in a safe and secure manner.

4.1.1.7. Provide the Guest with appropriate information on health and safety matters relevant to the itinerary and the countries to be visited.

4.1.1.9. Respond promptly and efficiently to any complaints or concerns raised by the Guest during the experience, and take appropriate steps to address such complaints or concerns.

4.1.1.10. Be responsible for ensuring that all payments received from the Guest are properly accounted for and that any refunds due are paid in accordance with the agreed Trading Terms
